A tour group of twenty-two guests arrived at the Harbour View Hotel shortly after 6:00 p.m. The agency had reserved six double rooms and ten single rooms, but two single rooms were unavailable because a water leak had delayed cleaning.

The front desk manager first checked which guests were travelling alone and which were willing to share. She then offered two available double rooms to four guests who had booked single rooms. The hotel kept the original room rate for each guest and added breakfast vouchers to thank them for accepting the change.

While the manager adjusted the reservations, other staff stored the group’s luggage and prepared key cards for the rooms that were ready. The tour leader received a list showing each guest’s room number, but one key card did not open the correct door. A receptionist replaced it and updated the list before the group went upstairs.

The two repaired single rooms became available the next morning. The guests who had shared could either remain in the double rooms or move. Both pairs decided to stay, so no luggage transfer was needed.

At check-out, the front desk produced separate receipts for the guests and one summary receipt for the travel agency. The organised response prevented a long queue and kept the group’s schedule on time.
