Sales representatives often described every available feature before confirming the client's requirements. Some quotations included services the prospect did not need, which pushed the total above the budget. In other cases, the representative met an interested employee but did not identify the final decision-maker. Follow-up messages were then sent to someone who could not approve the purchase.
The company introduced a revised process. During the first sales call, representatives asked about the business problem, expected timing, approximate budget and people involved in the decision. A client meeting was scheduled only when the prospect had a clear need. The presentation then focused on those requirements, and the proposal separated essential items from optional services.
Representatives were also trained not to negotiate too early. They first confirmed the value of the solution, then discussed price, delivery and contract terms. Every meeting ended with an agreed follow-up action and date.
After two months, fewer quotations were issued, but a larger percentage reached the decision-maker. Clients received shorter proposals, negotiations were more focused and the team spent less time pursuing prospects without a realistic project.
