The Wrong Floor Plan

Riverside Media reviewed its office relocation after the move created more disruption than expected. The company had transferred four departments to new premises over one weekend. Although the moving company delivered most furniture on schedule, several workstations were incomplete when employees arrived on Monday.

The main problem was not transportation. The floor plan had been revised twice, but the final version was not shared with every team. As a result, some labelled boxes were delivered to old workspace numbers, and two departments were assigned the same storage area. Security had also prepared access cards using an earlier employee list, so several new staff members needed temporary passes.

The company introduced a recovery plan. Facilities staff compared every workstation with the final floor plan and moved equipment to the correct locations. Department managers confirmed which storage cabinets they required, and unused furniture was placed in temporary storage. Security issued corrected access cards by Tuesday afternoon.

Riverside also changed its process for future workspace changes. One relocation coordinator would control the final plan, labels and staff list. No moving company would receive instructions until all department managers had approved the layout. Employees would receive a digital map before packing, and a small support team would remain available on the first working day. The review concluded that clearer information, rather than more workers, was the key to reducing disruption.
